For the purposes of data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018, [Organisation Name] is the Data Controller of personal data captured via our CCTV system.

2. Purpose of CCTV Monitoring

We operate a Closed Circuit Television (CCTV) system at our venue for the following legitimate purposes:

  • The prevention and detection of crime
  • The protection of staff, customers, visitors, and property
  • The identification, apprehension, and prosecution of offenders
  • Supporting investigations into incidents occurring on our premises

CCTV operates 24 hours per day.

Footage is routinely monitored and will also be accessed where necessary for investigative purposes or where required by law.


3. Lawful Basis for Processing

The lawful basis for processing personal data via CCTV is:

Our legitimate interests include maintaining the safety and security of individuals on our premises and protecting our property from theft, damage, or criminal activity.

We have conducted a legitimate interests assessment to ensure that the use of CCTV is necessary and proportionate and does not override the rights and freedoms of individuals.


4. What We Record

Our CCTV system:

  • Records video images only
  • Does not record audio
  • Uses fixed (static) cameras
  • Is not used for automated decision-making

Images may capture individuals entering, leaving, or moving around the premises.


5. Areas Covered by CCTV

Cameras are located in the following areas:

  • Car park
  • Building perimeter
  • Offices
  • Viewing areas
  • Pool area
  • Changing village (non-private areas only)

Cameras are positioned to avoid capturing:

  • Local housing estates
  • Staff welfare facilities
  • Private changing cubicles
  • Toilet cubicles

We aim to minimise intrusion into private areas and respect reasonable expectations of privacy.


6. Who Has Access to CCTV Footage

Access to recorded footage is strictly restricted.

Only authorised personnel (General Manager and Assistant Manager, acting as designated Data Controllers) may access recordings.

Footage may be shared with:

  • Law enforcement agencies
  • Regulatory authorities
  • Insurers or legal representatives (where necessary)

This will only occur where lawful and necessary.


7. Storage and Retention

  • CCTV recordings are stored securely on a local hard disk drive (HDD).
  • Footage is automatically deleted after 60 days.
  • Footage may be retained beyond this period only where required for an ongoing investigation or legal proceedings.

8. Your Data Protection Rights

Under data protection law, you have the right to:

  • Request access to your personal data (Subject Access Request)
  • Request erasure of your personal data (in certain circumstances)
  • Request restriction of processing
  • Object to processing based on legitimate interests
  • Request correction of inaccurate data

If you wish to make a Subject Access Request relating to CCTV footage, you must:

  • Provide sufficient information to identify yourself
  • Provide the approximate date and time of the recording
  • Provide proof of identity

Please note that where other individuals appear in the footage, we may need to redact their images before disclosure, or refuse the request where an exemption applies.
